Clinic Policies

Cancellations & No shows

Cancellations with less than 24 hours notice and no-call/no-shows are subject to a fee, which may be waived at the providers discretion. If you are going to be late, be sure to contact us ASAP, and understand that your appointment may need to be shortened or even rescheduled due to the high volume of patients we are trying to assist.

Cancellations and no-call/no-shows for OHP patients are subject to our three-strike policy. We are unable to charge OHP patients a cancellation fee, however, we still require 24 hours notice for cancellations and will document instances of last-minute cancellations or no-shows. If you fail to give us proper notice three times, you will be required to meet with your doctor and discuss appointment expectations before you can resume care. After a fourth instance, we will discontinue care and refer you to another clinic.

If you must cancel an appointment please do so at least 24 hours in advance, as we do have penalties for cancelling with less than 24 hours notice. If you are an OHP member, we cannot legally charge a same day fee, so all OHP members have a 3 strike policy: if it becomes a pattern, you will need to discuss it with the doctor, and may be released from care. You are very important to us, but we have a large community to serve— please be mindful of your providers time.

low or no fragrances

We request that you reduce or eliminate, where possible, the use of fragrant products (perfume, strong detergents, fragrant soaps...etc) in order to make our clinic a more accessible environment for our patients and providers who suffer from severe chemical sensitivities. Strong fragrances bring on extreme migraines, difficulty breathing, coughing, and severe congestion for those with chemical sensitivities so please be mindful of this before you come to the clinic. Additionally, one of our providers is allergic to lavender and sage essential oils. Please refrain from using those at all when coming into the clinic.

For your first appointment, please be sure to arrive early in order to get your full time with the doctor. If you are able to print your intake off ahead of time and bring it with you, your patient care coordinator will only need about 10 minutes to process your paperwork. If you are unable to print your intake ahead of time, please arrive at least 20 minutes early to allow for adequate processing.

financial responsibility

We provide online insurance benefit checks as a complementary service to our patients with the stipulation that there is no absolute guarantee that your insurance company will reimburse for your services. If your insurance company doesn't pay for your services at the clinic, you will be responsible for those fees. We are happy to work out payment plans when needed, all you have to do is ask.

financial hardship

In an effort to ensure that no one is falling through the cracks of health care, each provider on staff is required to offer a low-income option for our patients. There are limited low-income spots, your provider will be the ultimate decider of that, but know that we will always do our best to accommodate your needs when we can. If you are interested in applying for our financial hardship program, please contact the front desk.
